In reality, you don't have to tackle it all at once. Don’t be overwhelmed by the full project. Start by listing all your business's recurring tasks and processes — things you find yourself repeatedly doing.

Next, identify the 2-3 most frequent and time-consuming tasks within each category. These are great candidates for your initial system documentation.

For example, you may choose "customer onboarding emails" under marketing and "invoice processing" under finance.

For each task, carefully track your step-by-step process. Use screenshots or screen recordings to capture each step visually. Then, write out clear instructions. Refine and update as you go.

Involve your team right from the start. They're in the trenches daily, so they'll offer valuable insights into the details you might overlook. Together, break down complex processes into manageable components. Prioritize areas causing the biggest bottlenecks or inefficiencies first.
